Sharing documents with CGX 2.0 Users

You can share your docs with just the people you want, and you can specify exactly what level of access (view or edit) each person has. Docs start out with a visibility option of Private by default, which means that the only people who can view or edit your doc are the people you explicitly share with. 

To share documents with CGX 2.0 users, please follow this procedure:

Share Settings

Here's how to add specific editors and viewers:

  1. Open the doc you want to share.
  2. Click Share in the upper-right corner of the doc.
  3. At the bottom of the Sharing settings window



2. Under
Add people, you can write the name or last name of the person you wish to find in the CGX 2.0 contacts list and the system will show you the possible users:
E.g: If you search for: valerie

You can add the cgxchange.org account that appears automatically and you should select the type of permission: Edit or View.  It is recommended to leave the 'Send email notifications' so they can receive an email. Note that a link to the document will be included in the message:

Note: Do NOT share documents with cgiar.org accounts as these are not the Google Accounts.


Document visibility/privacy

By default, when you create a document, the visibility of the document is set to private. If you want to change this, click on 'Change' .

And follow these links for additional help in changing the settings:

Choose from Contacts

You can also click on 'Choose from Contacts' and search for the people you have added in your personal contacts. You can also select more than one user by clicking on the name and the list of users will appear in the bottom of the screen. 
When you are finished selecting the contacts, click on Done:

 
 

3. Click on Invite Collaborators

This will open a message box with the list of contacts you've added. (Note that a link to the document will be included in the message):

4. When you click on Send, the system sends the CGX 2.0 users the URL to access the document with their cgxchange.org email account. This shared document will also b visible through their Documents link in Google Apps.
